Office 365 Mailboxes | Enable In-Place Archive (Archive Mailbox)

Rule description

This rule enables the In-Place Archive (Archive Mailbox) feature for Office 365 mailboxes, providing users with additional mailbox storage. This feature is useful for managing large mailboxes by automatically moving older messages to an archive mailbox, improving mailbox performance, and helping users stay within their primary mailbox storage limits. Please note that the In-Place Archive feature may only be available with specific Office 365 or Microsoft 365 subscription plans. Ensure your organization's subscription includes this feature before enabling the rule.

 

When to use this rule

Use this rule in environments where mailbox storage management is needed for users with large volumes of email. This rule is beneficial in the following scenarios:

1. Storage Management for High-Volume Users: Apply this rule to manage storage for users who frequently exceed their primary mailbox limits. The In-Place Archive mailbox can automatically store older emails, freeing up space in the primary mailbox.

2. Compliance and Retention Requirements: Organizations with regulatory or compliance requirements can use the In-Place Archive to retain emails for a longer duration without impacting the primary mailbox.

3. Proactive Mailbox Performance Management: Using the rule to enable In-Place Archive can help improve mailbox performance for users with large amounts of data by moving older messages out of the primary mailbox, ensuring smoother operation.

4. Subscription Plans with Archive Feature: This rule is suitable for organizations with specific Office 365 or Microsoft 365 subscription plans that include the archive mailbox feature. Before using this rule, ensure that your subscription plan supports In-Place Archive.

Query Section

Setting name	Description
Query criteria	Query criteria are sent to the target platform with other query parameters to reduce the number of returned objects and may improve query performance. Tip: For different samples on the criteria builder, see KB20180410-1.

Properties to Display	To display additional Office 365 properties for each object found by the query, add those properties to the list.
Sort by	Sort result objects list.
Maximum Returned Results	The maximum number of mailboxes returned from Office 365. The default value is taken from Maximum returned results setting on HOME > CONFIGURATION > Microsoft Office 365 settings.

 

Action Section

Setting name	Description
Set Archive status to:	This setting determines whether the In-Place Archive (Archive Mailbox) will be enabled or disabled for selected Office 365 mailboxes. Note: The In-Place Archive feature requires a compatible Office 365 or Microsoft 365 subscription.
Maximum Returned Results	The maximum number of mailboxes returned from Office 365. The default value is taken from Maximum returned results setting on HOME > CONFIGURATION > Microsoft Office 365 settings.
